The type of information we collect
We currently collect and process the following information:
- Personal Information: Personal identifiers, contacts and characteristics (for example, name, address, date of birth, telephone and email details).
- Business Process Data: Sales data (for example sales transactions)
How we get the personal information and why we have it
Most of the personal information we process is provided to us directly or via an online ticketing platform such as Eventbrite or EventCube by you for one of the following reasons:
- Hiring our facilities.
- New or renewal of membership.
- Attending a ticketed event.
- Joining our mailing list.
We use the information that you have given us in order to manage your membership or booking with us and to keep you informed about our facilities and future events that you may be interested in.
We do not sell your information to any 3rd party.
We may use service providers to undertake processing operations on our behalf to provide us with a variety of administrative, statistical, advertising and technical services. We will only supply service providers with the minimum amount of personal data they need to fulfil the services we request.
Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

How we store your personal information
Your information is securely stored.
We keep booking and membership forms for 8 years. We will then dispose of this information by shredding.
Information that is held electronically. Personal details that enable us to maintain our membership database. Sales information that is processed via our till.
Our till and membership database is supplied by Club Control which is a trading division of Kappita Management Ltd, Suite 1, Chowley Court, Chowley Oak Lane, Tattenhall, Cheshire, CH3 9GA
Hosted cloud services are provided by ICR Touch Cloud Services, Embassy Way, Sandown, Isle of Wight,PO36 OJP.
All personal and sales data held by ICR Touch Cloud Services is deleted 3 months after our contract with them ends.
Your data protection rights
Under data protection law, you have rights including:
Your right of access – You have the right to ask us for copies of your personal information.
Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.
Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.
Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.
Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
You also have the right to unsubscribe from our emailing lists. To unsubscribe from our emails there is an option to unsubscribe at the bottom of these emails or you can contact us as below.
